CJMS Instructions for Authors

The Canadian Journal of Medical Sonography is the official journal of the Canadian Society of Diagnostic Medical Sonographers. The Journal will consider for publication original research, reviews, scholarly addresses, case reports, book reviews, sonographic and related images, clinical tips, guidelines, letters to the editor, and material of interest to Canadian sonographers. Articles are accepted in English and French. Editorial requirements are in accordance with the “Uniform requirements for manuscripts submitted to biomedical journals” (http://www.icmje.org). The editorial policies of the Journal are in line with those of the Council of Science Editors(http://www.councilscienceeditors.org/services/draft_approved.cfm). Authors must disclose any commercial interest in the subject of study; any conflict of interest with any drugs, devices, etc., discussed in the paper; and the source(s) of support, if any. A covering letter must state that the work is original and must include the senior author’s address for correspondence, a statement that the paper is not in consideration by any other journal, and the phone and fax numbers and e-mail address to ensure rapid processing. Authors should identify their affiliation with a hospital or university department and indicate if they are students, sonographers, residents, fellows, or on staff. After acceptance of the manuscript, the author(s) must sign a copyright transfer agreement.

The Journal reserves the right to edit manuscripts to ensure conformity with the Journal’s style. Such editing will not affect the scientific content.

 

Manuscript Preparation

Most manuscripts should be double-spaced and follow the guidelines below for length and content:

Scientific articles: 2,000 words, not including a reasonable number of references or the legends for the illustrations.

Review articles: up to 3,000 words, and a maximum of 50 references, tables, and figure legends. Review articles, especially “commissioned” reviews, may be longer, by mutual agreement.

The manuscript must be sent by e-mail attachment (Word or Rich Text Format only).

 

Excellence in Ultrasound Award

The Excellence in Ultrasound Award may be awarded to a sonographer with active membership in CSDMS or a student enrolled in a formal ultrasound program with student membership in CSDMS. Each submission for consideration will include an abstract that consists of one page with no more than 200 words. This summary or overview may include an introduction, purpose, materials/methods used, research rationale, results, and conclusions. Each submission must be an original composition and in the format of an essay, article, or case study. Pages should be numbered consecutively, starting with the title page. The title page (required for all submissions) must include the title, author name(s), affiliation, corresponding address, and contact telephone number. There must be no reference in the submission, except on the title page, that identifies the author(s), institution, or locales. Generic terms must be used throughout the text. The submitted copy should be securely bound with illustrations included. The essay/article must be at least 2,000 words and no greater than 5,000 words. We require 3 duplicate hard copies and one electronic copy of the submission. Illustrations should clarify and complement the text.

Plagiarism

Plagiarism is defined as the presentation of work of another in such a way as to give the reader reason to think it is the author’s own work. Plagiarism is a form of academic fraud and is considered a serious academic offense. Any paper submitted for the CSDMS Excellence in Ultrasound Award will be checked for originality to confirm that it has not been plagiarized from other sources. Any authors submitting a paper that is found to be plagiarized will be disqualified from the award, suspended from future submissions, and have their names forwarded to the CSDMS Executive Committee for possible membership disciplinary action.

References

References should be numbered consecutively in the text by superscript numerals. Corresponding references should be listed at the end of the text. Unpublished sources such as personal communications should be cited within the text and not included in the reference list.

The sequence for journal references should be as follows: author(s); title of paper; journal name abbreviated as in Index Medicus; year of publication, volume number, first and last page numbers. When there are more than 4 authors, shorten to 3 and add “et al.”

The sequence for chapters of a book should be as follows: author(s) of chapter, chapter title, editor(s) of book, book title, edition, place of publication, publisher, year of publication, page range.

Tables and illustrations

Each table should be typed on a separate page and should have a legend at the top indicating the information contained and should supplement the text. Each table should be clearly labelled with the title and table number.

Illustrations may be sent via e-mail as a TIFF or JPEG file. Do not embed the images in the text/Word document. Please use the maximum resolution on your PACS system (usually 640–480). If any photographs are to be submitted, please use the maximum resolution of the camera (3.2 megapixel minimum). Please do not crop the photos as you lose resolution; instead, zoom in to get the maximum image in the frame for the photograph. Illustrations should clarify and complement the text. Each illustration should be clearly labelled with the title, figure number, and indication as to the correct position of viewing of the image. Labels or arrows may be used to point out areas of interest and should be detailed in the legend. Patient identification MUST be removed. Video/DVD presentations are also accepted.

Note: Figure reproduction cannot improve on the quality of the originals.

Numbers, units, and abbreviations

Measurements are to be metric. In scientific text, physical quantities and units of time should be expressed in numerals, for example, 2 kg, 6 mmol, 5 hours, 4°C, 3 mm, 6 m/s.

Use only standard abbreviations, and avoid using abbreviations in the title. Define all abbreviations on their first mention.

Permissions/Copyright

Written permission must be obtained for material that has been published in copyrighted material; this includes tables, figures, and quoted text that exceeds 150 words. Signed patient release forms are required for photographs of identifiable persons. A copy of all permissions and patient release forms must accompany the manuscript. All submitted material remains the property of CSDMS and will be returned to the author; however, the publisher and CSDMS reserve the right to reprint all or portions of the article and to post all or part of the article online. CSDMS reserves the right to edit manuscripts as required to publish in Canadian Journal of Medical Sonography or in e-Interface.

Ethical and Legal Issues

No reference should be made to a patient’s identity. Names, initials, hospital numbers, dates, and personal histories must not be used. Written consent must be obtained from patients for the use of any photographs in which they are pictured.

Proofs

Proofs for correction may be sent to authors by e-mail as a Word file or pdf. Authors are asked to fax or e-mail corrections back to the publisher within 72 hours.
